What automating means here.

Posting to Instagram automatically sounds like a robot putting just anything in your feed. That is not what is meant. Pipeflow takes over the work that comes before every post: finding a topic, choosing an image, writing the text and publishing at the right time.

For this Pipeflow reads your website and plans feed posts with an image, text and a fixed slot every week. You see the whole week at a glance instead of wondering every evening what to post today. That way you can schedule Instagram posts without building each one yourself.

Pipeflow does not make Stories or Reels. You keep posting those yourself as usual when something is happening. How the idea works across both channels is explained under Automate social media.

How it works with Pipeflow.

From your website to the published post. Every detail is under How it works.

  1. 1

    Enter your website

Pipeflow reads your website: offer, photos and colours. Without a website you describe your business in a few sentences.

  2. 2

    Connect Instagram

You need a Business or Creator account. The connection runs through the official authorisation dialog, Pipeflow never gets a password. How to switch is explained in the guide on the Business account.

  3. 3

    Choose a rhythm

Three times a week, every weekday or daily, at a time you pick. At most one post per channel per day.

  4. 4

    Look at your week

Every post comes with an image, text and a slot. For the image Pipeflow uses a photo from your website, your own photo, an AI image or a text tile in your colours.

  5. 5

    Approve

You look through, swap an image or a word if needed and approve. Pipeflow posts on Instagram at the planned time.

What stays in your hands.

Automatic does not mean you have no say any more.

Approval

Nothing goes out without your OK as long as approval is switched on. You can switch it off once you trust the posts.

Edit and rewrite

You change any text directly or have it rewritten if the tone is off.

Your own photo

A phone photo from your workshop, your kitchen or your shop often works better than a polished picture. You can add it to any post.

Pause and post now

Closed for holidays? Then you pause. The new cake has just come out? Then you post right away instead of waiting for the slot.

Learning from your feedback

Thumbs, stars and a short reason are enough. Pipeflow turns them into rules about what to prefer or avoid. You see them in the settings and can reset them at any time.

Scheduling by hand or automating.

Both have their place. Here is the honest comparison.

By hand in the app

Scheduling is free in the Instagram app and in Meta Business Suite. You supply the image and text yourself and set the slot. How to schedule Instagram posts this way is explained in the guide Scheduling Instagram posts.

Automatically with Pipeflow

Image, text and slot arrive ready every week. You skip the searching and writing and only need the time to approve.

When doing it by hand is enough

If you take photos every day anyway, like writing or mainly make Stories and Reels. Then scheduling in the app already gives you a lot.

When automating helps

If your feed keeps going quiet for weeks even though plenty is happening at work. Pipeflow keeps a fixed rhythm, and you add spontaneous things yourself.

Both together

Pipeflow fills your feed in a fixed rhythm. You make Stories, Reels and spontaneous posts yourself in the app on the side, just as before.

Tips for good automated posts.

What works on Instagram also works for scheduled posts.

Collect real photos

Create a folder on your phone with everyday photos: team, work, products. An honest photo works better on Instagram than a stock photo.

Check the first sentence

Below the image only the start of the text is visible. At approval, check that it says why it is worth reading on.

A few fitting hashtags

In Pipeflow you set whether posts get no hashtags, a few or many. A few that match your offer and your town are usually enough.

Test the time

Morning, noon or evening: stick with one time for a few weeks, then look at your insights. More in the guide on the best time for Instagram.

Who it is for.

For small businesses, mainly in Austria and Germany.

Businesses without a marketing team

You have nobody who only looks after social media and still want to be visible regularly. That is what Pipeflow is made for.

Hospitality and retail

Café, bakery, restaurant, florist: what you have today and what your place looks like is best shown on Instagram.

Health, fitness, beauty

Practice, studio or salon: anyone booking an appointment often looks at your profile first.

Trades

Finished projects, the building site, the workshop in the morning. Trades are easy to show.

Consulting and services

On Instagram you show the people behind the office. For a professional audience, Automate LinkedIn posts is worth it as well.

FAQ.

Which Instagram account do I need?

A Business or Creator account. Switching is free and takes a few minutes in the Instagram settings. Which type suits you better is explained in the guide Business or Creator account.

Does Pipeflow post on Instagram without my OK?

No, not as long as approval is switched on. Only when you switch it off does Pipeflow post automatically at the planned time.

Does Pipeflow make Reels or Stories too?

No. Pipeflow creates feed posts with an image and text. You keep posting Reels and Stories yourself.
